Privacy Policy

Last updated: 24 October 2026

Courtline is a tennis coaching service: the Courtline Coach app, the Courtline Player app for adult players and parents of junior players, and the web pages a coach shares. It is run from New Zealand by Maxim Seryakov, trading as Courtline, under New Zealand law. Contact us at support@court-line.net. Our privacy officer and postal address are at the end of this page.

This policy goes with our Terms of Service. Previous dated versions are available on request.

In short

Words we use. A parent is any adult linked to a child's record: a parent, a legal guardian, or another adult acting with their authority. A medical note is safety information a coach records about a person. Coaching notes are everything else a coach writes about the coaching.

1. Information you give us when you create an account

Coaches give an email address and a name, and may add a club, city, rates and time zone. Optional questions about how they coach help us suggest a plan. A coach may also add a cancellation policy, GST details and bank details.

Players and parents give an email address, a name, a phone number, and whether the account is for a player or a parent. A player may add a profile: date of birth, gender, dominant hand, level, preferred format, goals, areas to work on, an emergency contact and a World Tennis Number range.

Can't-come messages. In the Player app you can notify your coach that you or your child can't come to a lesson, and give a reason. "Unwell or injured" is health information, but it does not say what is wrong. Only that coach sees it.

Forms on court-line.net. If you join the launch list, we keep your email and the page you signed up on. Unsubscribing deletes it. If you apply for a founding place, we keep your name, email, phone (optional), club, zone, what you coach and roughly how many players.

Signing in. There are no passwords. We email a six-digit code that works once and expires shortly after. You type it only into the app. We will never ask you to send it to us. If you lose access to your email, contact us.

What you must give. Your email and name, and a phone number if you sign up yourself. Everything else is optional.

Your agreement. When you sign up, we record which versions of this policy and the Terms you accepted, and when, along with the app version and phone type you used. Ask us for a copy.

2. Information a coach enters about other people

A coach can add anyone to their roster, whether or not they use Courtline. As well as the profile in section 1, a coach may record:

From a coach's phone contacts. A coach can add a player, a junior or a junior's parent by picking them from the contacts on the coach's phone, one person at a time. Only the people the coach picks are sent to us: their name, phone number and email address — for a junior, only their name. The rest of the coach's contacts stay on the phone.

Private to the coach. Medical and coaching notes are not shown to the player, parents, other coaches or clubs, and our support tools do not show them. Only Maxim Seryakov, who runs Courtline, can open the database directly, and only to fix a fault, answer a request under section 10, or meet a legal requirement. He may use an AI development assistant for that work, and it can then read anything in the database (section 9). If a covering coach needs to know about a medical issue, inform them yourself.

Visible to other coaches. An emergency contact is visible to every coach the person trains with. A no-show rate, which counts lessons missed without notice, is shown to the person and to a coach they ask to join. It is never shown for a child.

One coach, one account. A coach account belongs to one coach and must not be shared (Terms A2). Anyone using a shared login can see everything in it, including medical notes. If we learn an account is shared, we may close it.

Adult or child is set by the coach, not by date of birth. If your child is recorded as an adult, ask the coach to change it or email us.

Where this comes from. Coaches agree in the Terms that they have a proper reason, and permission where needed, for what they enter. We do not check each case. If a coach entered your details or your child's, ask us directly at support@court-line.net what is held, or to correct or remove it. You do not need an account.

3. Information the apps collect as you use them

Location. On the club map, the Player app asks for your location to show where you are. It stays on your phone; we never receive or store it. If you say no, the map still works.

We do not collect your camera, microphone, biometrics, advertising identifier or any government ID number. Neither app reads your contacts on its own: Courtline Coach opens them only when a coach chooses to add someone from them, and we receive only the people picked (section 2).

4. Children

No child may hold an account. A child's details sit on a record that their coach and linked parents can see.

5. When your information is shown to other people

Your coach and linked parents. See sections 2 and 4.

Coach listings. A coach can choose to be listed in the Player app. Anyone using the app can then see their name, photo, location, rates and offers. Listings are not on the public web, and a coach can remove theirs at any time. Being listed does not mean we have checked the coach (Terms C2).

Photos and images. Coach photos, exercise images and club logos are stored at public web addresses. Deleting one removes it from the app; email us to have the file itself removed.

Join codes. Anyone with a coach's join code can ask to join that coach. The coach can approve each person first.

Invite codes. A coach gives a parent or player an invite code to connect them to one player's record in the app. Whoever uses the code can see that record, so keep it private like a password and do not screenshot it.

Announcements. A coach can send written announcements to the families they choose. We do not check them before they go out. You can report an announcement or mute a coach's announcements. We record when you open one. Your coach cannot see that.

Share links. A coach can send a lesson summary or upcoming lessons as a private web page. It shows the player's first name, what the lesson covered, upcoming lessons and the coach's name. It stops working after three days, and the coach can switch it off sooner. If you would rather not have one sent, ask your coach or email us.

Money disputes. If you need to raise a money dispute with a coach and cannot identify them, we can give you the coach's business name, club and city, but not their email address. We let the coach know when we do.

When the law requires it. We may have to hand over information, including private notes and children's details, under a court order or similar order, to prevent a serious threat to someone's safety, or in court proceedings. We give only what we must and, where the law allows, let the person know first.

6. Why we use it, and keeping it right

We use your information to run the service — accounts, rosters, lessons, bookings, balances. We also use it to send the messages in section 7, and to show coaches and players to each other as in section 5. And to keep Courtline secure, see which features get used, fix faults and answer your reports. The optional questions are your choice. Analytics is on by default; you can turn it off (section 3). For a child's details, we rely on a parent's confirmation in the app or the coach's promise to us.

Keeping it right. Before we use or show your information to someone else, we take reasonable steps to check it is accurate, up to date, complete, relevant and not misleading. Some things we cannot check: a hand-typed date of birth or World Tennis Number, and a coach's bank account, GST status and number. Nor can we check a charge or balance, which is your coach's record of what they say you owe. The payments screen shows charges as your coach's record.

What we will not use it for. We do not sell personal information, use it for advertising, or use notes, announcements, lesson records or a child's details to train artificial-intelligence models. The one place an outside model can see them is the development assistant used to fix a fault, which can read crash reports and anything in our database (sections 2, 3 and 9). What it reads is not used to train it.

We do not use anyone's roster, players or contacts to market to another coach, for our own coaching, or for any other business of ours. We look at your records only to run support, answer a request under section 10, fix a fault, or where the law requires it. If we ever want to use your information otherwise, we will ask first.

Zone founding places. If we nominate you for a zone founding place (Terms B10), we check your club against its website or the Tennis NZ coach listing. We keep a record of your place after you delete your account, without your contact details, so the published counts stay right.

7. Messages we send you

Emails. We email you a code each time you sign in. We also send:

Reminders and invitations have an unsubscribe link. An invitation's link is permanent: we never email that address again.

Notifications. If you allow them, we send notifications about your lessons (for example, a lesson cancelled, moved or added), your coach's replies to your requests, announcements and payment reminders. Coaches are notified about their players' requests and purchases. Some updates only appear in the app's notifications list.

Notifications are passed through a notification service and then Apple or Google, which see the text and a code for your phone.

8. How long we keep information, and what deleting does

Coaching records are kept for as long as the coach's account is open. We do not delete them because an account has gone quiet. If a coach entered a child only for a holiday programme or a camp, we expect them to remove the details afterwards; ask them, or email us.

Deleted automatically: notifications in the app after 12 months, crash reports after 90 days, and the email address a referral invitation went to after 60 days. We keep a scrambled copy of that address so it is never invited twice.

Website forms. A launch-list address is kept until you unsubscribe. A founding-place request is deleted after 12 months with no activity.

Requests a coach turns down. If a coach declines a request you sent, they keep the request. Email us to have it removed.

Copies our suppliers keep. Our email provider keeps each message for 30 days, and our analytics provider keeps usage data for a year. We do not keep backups of our database at present, so deleted information is gone straight away.

Asking us to delete. You can ask us to delete information about you or your child at any time, with or without an account. We reply within 20 working days. We may keep something the law lets us keep, for example while a complaint or dispute is open, and we will let you know what we are keeping and why.

Deleting your account. In Courtline Coach: More ▸ You & Plan ▸ Edit profile ▸ Delete account. In Courtline Player: Account ▸ Settings ▸ Danger zone ▸ Delete account. You can also email us or use court-line.net/delete-account. On the website, we email you a link to confirm, and nothing is deleted until you use it. A coach always confirms by an emailed link.

What deleting your account does not remove.

When a coach deletes their account, their coaching data is deleted. We keep a record that the account existed, their announcements, the invitations they sent to other coaches, reports made about them, and their bug reports and board posts; email us to have these removed. A child left with no other coach and no parent who can sign in is kept for 30 days in case a parent or coach claims them, and then removed. We also ask our subscription service to delete the coach's subscription record. Deleting the account does not cancel a subscription bought through Apple or Google, so a coach should cancel that in their store account.

Your phone. The apps keep recent information on your phone so they work without signal, and your phone's backup may include it. Deleting your account does not remove it, so sign out and delete the app before you give a phone away.

9. Who else handles your information

We use a few companies to run Courtline. They handle your information for us, on our instructions. All of them are outside New Zealand, and most are in the United States.

Sending information overseas. Not every one of these countries protects information the way New Zealand does, and a company overseas may not be required to protect your information in a way that, overall, gives safeguards comparable to New Zealand's. Our suppliers may use your information only to provide their service to us, under our contracts with them. Apple and Google deliver notifications under their own terms, so for them we rely on your agreement to this policy. Apart from turning off usage analytics, there is no way to keep your information in New Zealand.

If Courtline is sold, we may transfer the service and your information to the new owner, who must keep to this policy. We will email account holders at least 30 days beforehand, so you can delete your account first, and ask coaches to pass the notice on to people on their roster.

10. Your rights and how to use them

10.1 Getting a copy of your information

Email support@court-line.net. You don't need an account. You can ask whether we hold information about you or your child, and for a copy, including notes a coach has written. We answer within 20 working days. If a large request needs longer, we will let you know within that time.

We check who you are first. For a child's health information or a coach's notes, we may ask for more than an email. Your first request is free, and a correction is always free. If a request is very large or repeated, we may charge a reasonable fee, and we will let you know the cost first.

We may hold some information back where the Privacy Act allows it, for example to protect someone else's privacy or safety. If we do, we will explain why, and you can complain to the Privacy Commissioner.

A parent can ask on behalf of their child. We decide what to release, taking the child's age and understanding into account. Information about a 16- or 17-year-old is theirs, so we ask them first and may say no if they object. Someone with legal authority for another person, such as a court order, can also ask.

10.2 Fixing something that's wrong

You can fix most of your own details in the app. Coaches edit their own details, and players and parents edit their own and their children's profiles in the Player app. Once an adult player has set their emergency contact, they can't change it in the app, so ask your coach or email us.

For anything a coach keeps, such as a note, an attendance mark, a charge or a balance, ask the coach first. Each coach keeps their own records, so ask each one. We can't decide who is right about money.

If that doesn't work, email us and we answer within 20 working days. We will require the coach to fix or remove the record, and we may suspend their account if they don't. If we still don't change it, you can send us a note saying what you think the record should say. We keep it with the record, and the coach must keep it too. You can also complain to the Privacy Commissioner.

A corrected profile detail, like a name or phone number, updates for every coach who sees it. A correction can't change copies made before it, such as messages already sent, emails, share pages or backups.

10.3 Other choices you have

10.4 Complaints

Email support@court-line.net and we reply within 20 working days. If you are not satisfied, or would rather not come to us, you can complain to the Office of the Privacy Commissioner at any time: privacy.org.nz, 0800 803 909, or PO Box 10 094, Wellington 6140.

To report a security or privacy weakness, email the same address and we'll explain how to send the details safely.

10.5 A message that harms you

If something sent through Courtline is threatening, abusive or seriously offensive, contact us. We contact the sender within 48 hours and give them 48 hours to reply. We take it down if they agree, don't reply, or can't be reached. If they refuse and give reasons, we may leave it up, but we always remove it if we believe that's needed to protect a child or anyone else (Terms A6).

11. Security, and what happens if something goes wrong

How we protect your information. Each person can open only the records they are meant to see. Our database and servers enforce this, not just the app on your phone. A few things are open on purpose: a listed coach's profile in the Player app, the club directory, and the images in section 5. Information is encrypted on its way to us and where our suppliers store it.

On your phone, your sign-in is kept in the phone's secure storage, and the rest is protected by your phone's lock. Face ID adds a lock to the app, but it does not replace signing in. No system is perfectly secure.

What a privacy breach is. Someone sees your information who should not have, or it is lost, sent to the wrong person, or we can no longer reach it. For example, someone gets hold of an invite code and uses it to open a player's record. We have no way to spot that ourselves, so if you think it has happened, contact us. We then let you and the coach know what we have found.

A coach can also cause a breach, for example by sending an announcement that reveals something private about a child. A coach has their own duty under the Privacy Act to notify you and the Privacy Commissioner. Please contact us as well.

If we find a breach, we act at once. If it has caused or is likely to cause serious harm, we notify the Privacy Commissioner and the people affected as soon as we can. If the law allows us to delay notifying you, we will explain the delay. Our notice will explain what happened, what we are doing, how to reach us, and that you can complain to the Commissioner.

We email people who have no account if we have their email address. We cannot send text messages, so if we only have a phone number, we post a notice on court-line.net and in both apps, and we ask the coach to pass it on.

If someone else gets into your account, your email or a signed-in phone, or your phone is lost or stolen, contact us straight away. If you still have a signed-in device, sign out on it: this signs your account out everywhere. Changing your email password does not sign anyone out of Courtline. We can also stop notifications going to a phone you no longer have.

12. Changes to this policy

If we make a change that matters to your rights or to how we use your information, we will update the date at the top and post a note here about what changed. We will also email you at least 14 days before it starts, if we have your email address. If we hold your details but you have no account, we will write to the address we have, or ask your coach to let you know.

Please keep your email address up to date. We treat a notice as given once we have sent it to the address on your account.

We will not use information we already hold for a new purpose unless the law allows it.
